CEn-Calc Power Apps Licensing, Consultant and Organization Management Updates For Sustainable Footprint
1. Application Overview The Consultant-Based PowerApps Application is an enhancement of an existing Dataverse-based PowerApps solution that was originally designed for direct client management. The enhanced application introduces a Consultant-Based Model , allowing third-party consultants to manage their own assigned clients under a licensing structure while the Parent Organization maintains centralized control over consultants, clients, licenses, users, and access. The solution focuses on six main areas: Consultant Management, License Management, Client Management, Consultant User Management, Access & Security, and Application Navigation & Design Consistency . 2. Consultant Management The application allows the Parent Organization to create and manage third-party consultants. Parent users can: Add new consultants Edit consultant information Deactivate consultants Define the maximum number of clients allowed for each consultant View and filter consultants based on their status The Parent Organization is also represented as a special consultant entity within the system. Unlike regular consultants, the Parent cannot be deleted and has unlimited clients/licenses. Management of all consultant entities remains under the control of Parent users. 3. License Management The application introduces a structured licensing process for consultant-managed clients. Consultants can: Assign licenses to clients Unassign licenses from clients Manage licensing for their associated clients The Parent Organization can monitor license due dates , providing centralized visibility into the licensing status of clients. The system also automatically identifies expired licenses and deactivates access when a license has expired. This process is supported through a scheduled automated workflow. 4. Client Assignment and Management Clients can be associated either directly with the Parent Organization or with an individual consultant. The application supports: Assigning clients to consultants Assigning clients directly to the Parent Switching clients between consultants Reassigning existing clients when required Consultant users are provided visibility into the clients assigned to their consultant organization. The application filters client information according to the consultant associated with the logged-in user. 5. Consultant User Management Each consultant can have multiple users associated with their consultant organization. The application provides user-management functionality to maintain the relationship between users and consultants. Consultant users can view and manage the clients belonging to their assigned consultant organization, while user-level filtering ensures that information is displayed according to the appropriate consultant relationship. 6. Role-Based Access Control The application includes role-based security to control what different types of users can access. The defined user roles include: Parent Admins Consultant Admins Consultant Users Access to application information and functionality is restricted according to the user's role and consultant assignment.
